How to Share Documents

Create as many shared folders as you want

Shared Folders Feature

Login direct to LightYear Surge (top right corner). 

2021-12-01_14-52-00Scroll down to Quick Links where you will find the Document Wizard. Click on the My Documents tab and you will find the Shared Folders below the My Documents heading.

  • My Documents - are personal or private to the user.
  • Shared Folders - Create as many shared files as you want. As an organisation, you can choose how you want to set it up. 
    • Example - creating the files as the 'Smith Family Documents' or 'Account Beans SMSF' Documents and then everyone from your organisation can see these folders and documents.
    • You can then go back into your My Documents where you can add documents into the shared folder. Simply click on the action button, and choose Add to Shared Folder. A note will appear to warn you that anyone that has access to that shared folder can edit and manage the document.
    • You can start a document and have someone else finish it, send it off for signing, have support jump into it and more. It makes it easier to proof or have a second set of eyes on it. It will even show you who last updated it.
    • You need to set up the file before you can add/move the documents to it.

You can now see that it has been shared and sits in both your My Documents and Shared Folders. The owner still remains as you and you can see who last edited, however you will have full permissions to launch, re-name, request legal reviews etc.

  • If you or a member from your organisation make a change, it will be reflect the same on the document in your My Document and Shared Folders.

UPDATE:

  • Shared Folders currently shows the Company Folders as the main folder. You can create folders under Company Folders and save documents there individually.

  • You can now share an entire folder to the Shared Folders. Go to the folder to be shared, click on the Action Button and choose Add to Shared Folders.

  • Automatically, system will create another folder in Shared Folders with your email address or name showing. All the folders you are going to share, it will be stored on that folder created in Shared Folders.

  • Owner role in the Document Wizard now has the Organisation Documents tab under My Documents. The owner has now the option to see all created documents by the team.
